Recurring visits

Set a recurring visit once. It schedules itself.

Pick how often the pool is serviced and on which days, and give the service a default technician. From then on the visits land on the calendar on their own, week after week. Nobody rebuilds the schedule by hand.

  • Weekly, every other week, or monthly
  • On the weekdays you pick
  • Its own technician by default

Moving a stop

Reschedule a stop in one drag.

A customer asks for Thursday instead of Tuesday. Find the stop on the week board and drag it to the new day, or onto another tech. Drag it up or down to change where it falls in the day. The tech's phone shows the change.

  • To another day, or to another tech
  • Earlier or later in the same day
  • A visit with no tech yet shows in red

When a tech is out

A day off without a scramble.

Set the days and hours each technician works, and a day off shows on the board. When someone calls out, select their stops on the map and hand them to another tech in one step.

Timed stops

Promise a time. The stop holds it.

Some customers need a set time: a gate that has to be opened, a repair someone must be home for. Give the stop a set time and it holds its place in the day. When you put that technician's day in a shorter driving order, the timed stop stays where it is.

  • A set time on any stop
  • It keeps its place when the day is optimized
  • The new order shown before you apply it

Repairs and extra jobs

One calendar for weekly visits and repairs.

Repairs and extra jobs go on the same calendar as the weekly visits, so you see both when you plan a day. A job with no date yet sits on the unscheduled list until you drag it onto a day and a tech. When a customer approves a quote, it becomes the job without retyping.

  • Jobs and visits on one calendar
  • An unscheduled list for work with no date
  • New requests from the office, the tech or the customer

Care that comes due

Filter cleans land on the right visit.

Not everything happens every week. A filter clean might be due every few months, a salt cell clean every so many visits. Set that once for each pool. When it is due, the work is added to the tech's visit, or it becomes a job or a quote. Equipment inspections come due the same way.

  • Filter cleans, backwashes and salt cell cleans
  • Counted in weeks, months or visits
  • What is due shows in office alerts

On the day

The tech sees the day. The customer gets a text.

The tech opens the technician app and the day is there: every stop in order, with a map and directions to each. They tap On my way and the customer gets a text. After the stop the customer gets a service report, with the work, the readings and the photos.

  • The day's stops, in order
  • A text when the tech is on the way

What is pool service scheduling software?

Pool service scheduling software keeps the calendar for a pool service or pool cleaning company. It holds every recurring visit: how often it runs, on which days and with which technician. It shows the whole week for every tech, lets the office move a stop or cover a day off, and puts repairs and other jobs on the same calendar. On the day it gives each tech their list and tells the customer the tech is on the way. PoolStack does that, with the route order, the water chemistry and the billing on the same record.

How do I set up a weekly pool service schedule?

Create a recurring service for the customer. Pick how often it runs, choose the days and give it a default technician. The visits then land on the calendar on their own.

Can I schedule every other week or once a month?

Yes. A recurring service runs every week, every other week or once a month, on the days you choose.

How do I reschedule a stop?

On the week board, drag the stop to the day you want, or onto another technician. To change where it falls in the day, drag it up or down. The technician's phone shows the new plan.

What happens when a technician calls out?

Their stops do not have to be moved one by one. Select them on the map and give the whole group to another technician. For a planned day off, set each technician's working days and hours, and it shows on the board ahead of time.

Can I schedule repairs next to the weekly route?

Yes. Jobs and visits share one calendar. Work that has no date yet waits in the unscheduled list until you drag it onto a day and a tech.

Can a customer have a set appointment time?

Yes. Give the stop a set time and it holds its place in the day, including when you optimize that technician's route.

Can I schedule work that is not weekly, like a filter clean?

Yes. Tell PoolStack how often a pool needs it, counted in weeks, months or visits. When it is due, it is added to the tech's visit, or it becomes a job or a quote.

Can I pause service for a customer?

Yes. Pause a recurring service and bring it back when the customer is ready.

Does the customer know when the tech is coming?

Yes. The tech taps On my way and the customer gets a text. Customers can also see their visits in the customer portal.

What does a tech see on the day?

Their day's stops, in order, in the technician app on iPhone and Android, with the map and navigation to each one.

Is scheduling the same as route optimization?

No. Scheduling decides which day a visit happens and who does it. Route optimization puts one technician's day in a shorter driving order. PoolStack does both, and a stop with a set time keeps its place. See pool route software

Does a scheduled visit turn into an invoice?

A recurring service bills every month, at a fixed monthly price or per completed visit. The invoice is created on the service's billing day without anyone typing it up. See pool service billing software

How much does pool service scheduling software cost?

PoolStack is $79 a month, all access: scheduling comes with the whole product in one tier, with a 30 day free trial. Early adopters lock that rate for life. See pricing

Is there a free trial?

Yes. 30 days free, with the whole product. Keep your current software running until you are ready.
