Gantt scheduling

Excavation to plaster, on one schedule.

Every phase and job of the build on one chart, from excavation to plaster. Set the dependencies by linking a job to the one it waits on. Switch between the Gantt, a week and a month. A new build, a remodel or a replaster each starts from its own template of phases.

  • Phases with the jobs under them
  • Jobs linked to what they wait on
  • Gantt, week or month

Estimates and proposals

A proposal with three options. The homeowner picks.

Build draws

Bill the build by milestone.

Lay out the payment plan once: a deposit, then a draw for each milestone. Each draw is ready to bill when its phase is done. It goes out as an invoice, and the homeowner pays online by card or bank. You see what is collected and what is left to collect.

  • A fixed amount or a percent of the contract
  • Ready to bill when the phase is complete
  • Collected and left to collect, at a glance

Service after the build

When the build is done, the service starts.

The finished pool stays on the same customer record, ready for weekly service. Set up a recurring service and the visits land on a route, with the water chemistry, the equipment and the monthly bill on the same account. Nothing is typed into a second system.

  • One customer record, first estimate to weekly service

What is pool construction software?

Pool construction software runs a pool build from the first estimate to the last draw. It holds the schedule with its phases and dependencies, the subs and their bids, the permits and inspections, the change orders, the daily log and the payment plan. It also shows the homeowner where the build stands. It is made for pool builders and pool contractors doing new builds, remodels and replasters. PoolStack is pool builder software and project management in one, and it keeps the finished pool on the same customer record for weekly service.

What software do pool builders use to run a build?

A build can be run from spreadsheets, a general construction tool and accounting software, with the pieces kept in step by hand. Pool builder software puts the schedule, the subs, the permits, the change orders and the draws in one place. PoolStack does that, and keeps the finished pool on the same customer record for weekly service.

Can I use general construction software for pool builds?

You can, but a pool build has parts a general tool is not built around. The phases run in a set order, from excavation to plaster. Inspections come between them. Draws follow the phases. The homeowner wants to see progress. And when the build is done, the pool needs weekly service. PoolStack is built around those, with service on the same customer record.

Does the construction side cost extra?

No. Pool construction is in the same price as pool service. There is one tier. See pricing

How does draw billing work?

You lay out the payment plan for the build: a deposit, then a bill for each milestone. A bill can wait on a phase. When it is ready you create the invoice and send it, and the homeowner pays online.

What does the homeowner see?

Their own portal: where the build stands, the updates and photos you publish, payments and change orders. Your daily log and internal notes stay internal.

How do change orders work?

Price the added work or the credit and send it for approval. The homeowner approves or declines it in the portal, or the office records an approval taken by phone or email. Approved changes move the project total.

Do subs need a login to bid?

No. Each sub gets a link, prices the scope and submits. You compare the replies and accept one.

How do I keep track of permits and inspections?

Each permit sits on the build with its number, authority, dates, documents and status, from preparing to approved. Each inspection has its date and its result: scheduled, passed or failed, with any re-inspection.

How does job costing work?

Every job shows its revenue, cost and profit, and every build shows its margin. The accepted bid's cost goes on the build. Material costs, purchases and supplier bills are recorded against it, with the receipt photo. Crews clock in on the phone and the office approves the timesheets.

How do I keep track of subs and vendors?

Your subcontractors and suppliers sit in one list, with trade and contact details. Send a bid request to the subs you choose for a scope, compare what comes back and accept one. The accepted cost goes on the build.

How do homeowner selections work?

Mark a material as the homeowner's choice and follow it from approved to ordered to received. Material costs are recorded against the build, with specs and delivery tickets on file.

Where do the plans and photos go?

Into the build's files: plans, documents and photos in folders. You can mark up a photo, and you choose what the customer sees.

Does it track equipment warranties?

Yes. The equipment on each pool is recorded with its make, model and serial number, and the warranty end date on each piece shows what is still covered.

Does it work for remodels and replasters as well as new pools?

Yes. Start a new build, a remodel or a replaster from its own project template, each with its own phases and payment plan.

What can the crew do from the phone?

Log the day's notes and photos from the site, and clock in. The office approves the timesheets.

Does it sync with QuickBooks?

Yes. Customers, paid invoices and their payments go to QuickBooks Online on their own while you are connected.

Can I run service and construction in one account?

Yes. One customer record runs from the first estimate to weekly service. See pool service software
