About this generator

What goes on a pool service invoice

A pool service invoice is more than a receipt. Done right, it sets payment terms, documents the work, and gives the customer a clean record they can send to their property manager or accountant without questions. Operators who treat invoicing as a project (rather than an afterthought) get paid faster, fight fewer disputes, and look more professional. The invoice generator above covers every field you need.

The 8 fields every pool service invoice needs

Business identity
Name, address, phone, email, license number, and logo. Builds credibility and gives the customer a way to reach you.
Customer block
Who is paying and where the service was performed. Service address often differs from billing address, especially for property managers.
Sequential invoice number
Use INV-1001, INV-1002, etc. Skipping numbers makes audits and disputes harder. Pick a system on day one.
Dates
Invoice date, service date, and due date. Operators forget service date. Customers love it because it ties the bill to the work.
Itemized line items
One line per service or product. Include quantity and rate so the customer can verify. Vague descriptions like "pool service" lose disputes.
Subtotal, tax, total
Even if you do not charge tax, show subtotal and total separately. It signals professionalism.
Payment terms
Net 15, Net 30, due on receipt. Be specific. "Pay when you can" is how routes go bankrupt.
Payment methods + notes
List what you accept. Add any warranty, guarantee, or scheduling note. Reinforces the relationship.

Common pool service invoice line items

Be specific. “Weekly service” loses disputes. Spell out what you did so the customer can connect the bill to the work.

Recurring service
Weekly chemical service, biweekly maintenance, monthly check, water testing, brushing, vacuuming, skimming, basket emptying, filter backwash.
Repairs and equipment
Pump replacement, filter cartridge, salt cell rebuild, heater service, automation install, leak detection, tile repair.
Seasonal
Pool opening, pool closing, winterization, spring startup, green pool recovery, acid wash, drain and refill.
Add ons
Equipment upgrade, energy audit, LED lighting, salt conversion, water feature service, deck cleaning, emergency callout.

Five mistakes that delay payment

Vague descriptions
Replace "pool service" with "Weekly visit: tested chemistry, balanced pH, brushed walls, vacuumed, emptied baskets, dosed 2 lb cal hypo."
No due date
If the invoice does not have a clear due date, the customer assigns one. That date is later than yours. Always specify.
Skipping invoice numbers
Random or skipped numbers make tax filing harder and look unprofessional. Use sequential numbers from day one.
No payment options
List every method you accept. Customers pay with whatever is easiest to them. Removing options removes payments.
Sending invoices once a month
Send the invoice the day you do the work. Faster invoices, faster cash. Auto pay enrollment fixes the timing problem entirely.

Invoice generator FAQ

Short answers to the questions operators ask most.

More questions? Email us

Is this really free?

Yes. No signup, no watermark, no monthly fee. We built this for the pool service market because every operator we talked to was either using a generic template or paying QuickBooks $30/month for something simpler than this.

Do I need an account?

No. Fill in the form, click download, save the PDF. The data lives in your browser only. We do not see your invoices.

How do I add my logo?

Click "Upload logo" in the business section. PNG, JPG, or SVG, under 2 MB recommended for crisp PDF rendering. Square or wide rectangle works best.

Can I save a template?

Not yet. Bookmark this page and your business info defaults will reappear if you stay in the same browser. For real templates and recurring billing, the PoolStack app does that natively.

What payment terms should I use?

Net 15 is the floor for residential. Due on receipt for one off services. Net 30 for property managers and commercial accounts. Anything past Net 30 starts costing you working capital.

Should I charge sales tax?

Depends on the state. Most labor for pool maintenance is not taxable, but parts and equipment usually are. Talk to a CPA. The form has a tax rate field if you need it.
